Clearance (Transfer) Rules

There are two types of clearance - Inter-season (ie played for a different club last year) and Intra-season (ie started the season with one club and wishes to change to another). Please follow the correct procedure.

Inter-season (changing clubs between seasons)

An Inter-season clearance is automatically lodged and approved when a member renews their registration into a different club to what they belonged to in the previous season. For example, Joe Blogs played for Club A in season 2020. Coming into season 2021, Joe renews into Club B. This is considered an inter-season transfer as she has 'moved' clubs from one season to another.

The system will automatically flag this by sending a notification to the admins of Club A (origin club) and Club B (new club) as well as lodging an approved transfer in both club's Transfer feature in revSPORT. The BVHA also receives notification of the transfer. 

Clubs should keep track of inter-season transfers. The origin club should lodge an objection, in writing to the BVHA Registrar, if they believe the transfer should not go ahead (ie the player owes them money).

Intra-season transfers will be tracked to check:

  • members have chosen the correct clearance process;
  • membesr may owe money to their previous club;
  • members may have renewed into the incorrect club.

Intra-season (changing clubs mid-season)

A player who is currently registered with a club is required to obtain a clearance from that club before registering to play for another club. It is the responsibility of the new club to ensure the clearance is approved prior to the player registering and playing with the new club (name will appear in the list below). Note: the By-Laws allow a player to have Dual Registration to play with different clubs in different competitions (eg seniors and juniors). Players do not need a clearance for this, but should contact the BVHA for the process.

Grounds for refusing a clearance are limited to failure by the player to meet a financial obligation to their current club or to comply with a disciplinary ruling by the club or the BVHA.

The current club has up to 5 business days to approve/deny clearance requests, so new clubs should plan ahead and not expect last minute requests to be approved in time. Verbal approval from the old club does not constitute a clearance.

The new club has the right to appeal a decision to refuse a clearance. The appeal must be in writing (via email is fine) and addressed to the BHVA Registrar.

A club that plays a player without a clearance will forfeit all matches in which the player took part.

Clearance Process

Inter-season Clearance

An Inter-season clearance is automatically lodged and approved when a member renews their registration into a different club to what they belonged to in the previous season. No further action is required, except that the Origin club may lodge an objection to the BVHA Registrar in writing.

Intra-season Clearance

Requests for Intra-season clearances should be lodged via revSPORT. As a last resort clubs can use the paper form available on the Documents and Forms page here.

Log in to your revSPORT admin portal and navigate to Clearances. You will need the player ID to search for the player. Follow the prompts.

The player MUST NOT REGISTER OR PLAY for their new club until the process is completed.
